Preparing for SARC

Question: Where can I get a W-9 form?

Question: Who should I send certificates of insurance to?

Answer: Certificates of insurance should be mailed to Ernie Evangelista, Fundraising / Vendor Relations chair at:

Exhibitors are also expected to be able to provide certificates of insurance upon request during the conference.


 
Question: What formats do you accept for vendor logos?

Answer: As noted in our sponsor / exhibitor information sheets, SARCIV sponsors and exhibitors will be acknowledged on our Web site and printed program. We will accept gif and jpg images. They should be sent to Ernie Evangelista at eevangelista2003@yahoo.com

 

Question: How many participants are you expecting for the conference?

Answer: Conference planners project 150 total attendees.

 

Conference Set-Up

Question: How early can exhibitors set up booths at SARCIV?

Answer: Exhibitors can prepare tables on Wednesday, February 27 AFTER the conference's opening reception, sponsored by the Copyright Clearance Center, around 9:00 p.m. Or exhibitors can prepare tables as early as 7:45 a.m. Thursday morning, February 28. The conference's first session kicks off at 9:00 a.m. 
  

Question: What will exhibit space look like?

Answer: The SARCIV exhibit hall comprises a hallway between our session space and veranda. Each exhibitor will have a six foot table and chair. We will provide additional chairs for other registered representatives of the exhibiting company.

 

Question: My exhibit requires an electrical outlet. Can the hotel provide that?

Answer: Our exhibit hall contains electrical outlets. Exhibitors requiring electricity and/or audio visual support must complete the forms below and fax back to Kelly Virgin at (727) 573-1463. Kelly can also be reached at Kelly.Virgin@hilton.com or (727) 954-2019.

Question: Will Internet access be available?

Answer: As a business hotel, the Hilton Carillon Park Hotel offers wireless Internet service. This access is covered by the exhibition fee.

 

Question: Who should I mail conference materials to and how early can I send them?

Answer: As noted on sponsor / exhibitor registration forms, the Hilton Carillon Park Hotel can receive conference materials as early as February 20, 2008. Be sure to include a return address, point of contact and date shipped on all packages. Send materials to:

Question: Will there be booth signage?

Answer: Each table will NOT have signage. If an exhibiting company does not have a desktop banner, rest assured that participants will still be able to find exhibitors.

 

Question: When will I know my booth assignment?

Answer: With a smaller exhibit hall, table assignments will be provided ON SITE when exhibitors register.

 

At the Conference

Question: Who can I contact with any concerns during the conference?

Answer: Ernie Evangelista, Fundraising / Vendor Relations Chair, will be attending the conference. Should anything arise during the conference, designated committee or volunteer staff will monitor session rooms and the exhibit hall to ensure continually smooth operation.

 

Question: When can exhibitors break down their spaces?

Answer: SARCIV’s last exhibit hall break is scheduled from 2:30 to 3:00 p.m. on Friday, February 29. While exhibitors can break down their tables after this break, we hope that they will choose, instead, to attend our last two conference sessions.

 

Question: Additional company representatives will be coming. Is there a fee for them?

Answer: Yes, additional representatives MUST be registered for SARCIV at conference rates, not Exhibit Hall only rates. Registration forms can be found at this link:

Question: What is the exhibit schedule during the conference?

Answer: EXCEPT during lunch periods, the Exhibit Hall will be open for the duration of the conference:

  • Thursday, February 28:  9:00 – 4:30
  • Friday, February 29:  9:00 – 5:30.


No Conflict times have been scheduled for the following times:

  • Thursday, February 28:  10:00 am – 10:30 am; 11:30 am – 12:00 pm; 2:30 pm – 3:30 pm
  • Friday, February 29:   10:00 am – 10:30 am; 11:30 am – 12:00 pm; 2:30 pm – 3:00 pm.
