Practices Manual Editor
The Policy and Procedures Manual was initiated in 1990/91 by Marlene Cummins
in the year in which she was Chair. (She was given a
Special award in June 2000 "commending her tireless work creating and maintaining the PAM Manual" over a decade.) At first, there were excerpts of the SLA
headquarters procedures, but now the Manual is for recording and disseminating
the unique policies and procedures of PAM. PAM's Manual has been comprehensively revised in summer 2004 to incorporate SLA's Recommended Division Practices as appropriate and to update PAM's practices generally. The Editor's term of appointment is indefinite in order to ensure continuity.
Duties:
- To serve as a member of the Advisory Board, attending meetings and receiving communications in order to update the Manual, and occasionally acting as consultant.
- To update the Manual promptly as needed. Work with the Webmaster/Network Committee Chair on procedures for posting updates to the website. Routine updates include
- Summer (after the meeting): update the sponsors, staff and awards lists, current and historical (or the Webmaster may do this); incorporate any changes sent by outgoing officers/staff about their positions; review meeting minutes for decisions to be reflected in the Manual (e.g., new reimbursement cap, if any, for Chair/Chair-Elect travel added to finpols.html)
- Fall: add link to IMA call for nominations to pamimadetails.html
- Jan.: add new IMA winner to pamimalist.html
- To actively seek information about the practices and decisions of the Division for inclusion in the Manual.
- Remind the Executive Board to provide notification of policy or procedure changes made outside of meetings.
- Remind officers, committee chairs, and other staff near the end of their terms (in the late spring) to send comments or changes to the Manual pages for their positions.
- Bring issues needing resolution/approval to the Executive Board.
- To keep the officers and other PAM staff informed of established Division practices.
- Send the nominated Chair-Elect and Secretary/Treasurer their relevant Manual sections as soon as possible after nomination.
- As the Chair appoints new Committee Chairs and other position holders, notify appointees of their Manual sections. Note there may be multiple pages for a single position/committee (e.g., several pages about awards guidelines and past award winners, as well as a page of guidelines for the awards committee itself).
- Send guidelines for Roundtable Moderators twice: once when they are
appointed and once in the spring as they prepare for the conference.
- Make sure the Archivist has a printed copy of the current Manual.
