Procedures Manual: President-Elect
Position Description
The President-Elect is responsible for learning about the operation of
the Chapter. This allows a smooth transition so that the Chapter will
continue to operate efficiently and in accordance with the Chapter's
governing document, practices and procedures when the President-Elect
takes office as President.
The President-Elect assists the President and, with the President,
represents the Chapter at Chapter Cabinet meetings. In the event of
absence or withdrawal of the President, the President-Elect assumes all
duties and obligations of the President.
The office of President-Elect may be held by any Chapter member in good
standing; preferably one who has held a previous Chapter executive or
committee office and who is familiar with the recent history and
activities of the Association and of the Western Canada Chapter.
Candidates must be highly motivated and be in a position that will
permit them to assume the responsibilities of Chapter President and
Past President in succeeding years.
Term
- The office of President-Elect is the first year of a
three year commitment to the Chapter offices of President-Elect,
President, and Past-President.
- The President-Elect assumes office at the close of
the annual Association business meeting, or if no meeting is held, on
July 1.

Duties
Communications/Knowledge Management
- Immediately send copies of all correspondence which
binds, or may bind, SLA or the Chapter to the Secretary.
- Submit activity reports to all members of the Chapter
Board prior to Board meetings
- Present an annual report summarizing activities to
Chapter Board and President prior to Chapter annual business meeting
- Work with the President to report to Chapter members
about key events, changes, plans, etc. as discussed at these meetings.
- Contribute to Wired West at least one article
reviewing Leadership Summit experience
- On assuming the office of President, transfer all
pertinent records to the incoming Chapter President-Elect within 20
days of the annual conference.
- As the new Chapter President, make sure all incoming
Chapter Officers have received their files.
Chapter and Association Meetings
- Attend all Board meetings in person or by
teleconference
- Serve on Chapter Executive Board as a voting member
- Contribute to discussions
- Attend the same meetings as the Chapter President.
These are detailed under the Chapter President's responsibilities,
Section II.B.3. of these Practices, and include the SLA Annual Meeting,
Leadership Summit, and open SLA Board of Directors meetings.
- Where feasible, audit committee meetings in order to
better understand how the Chapter works
- Leadership
- Perform any duties as required for operation of the
Chapter at the request of the President.
- Undertake special assignments as requested by the
President
- Participate on special committees such as strategic
planning, and practices review
Learn about the Chapter and the Association
- Read the Chapter’s Governing Document and Practices
Manual to become familiar with the duties of all Chapter officers.
- Take every opportunity to become acquainted with
other members of the Chapter Cabinet, especially the Presidents-Elect
of other Chapters, in order to become established in the informal
communications network that exists among Chapter officers.
- Attend as many Chapter events as possible.
- Become familiar with Chapter policy as established in
the past so that continuity of policy will be provided. Evaluate
activities or suggest changes.
Appointment and Recruitment
- Recruit Advisory Board members (committee chairs) to
serve during presidency. Begin recruiting during your term,
appointing all officers by the chapter’s annual business meeting in
November.
- Inform committee chairs that there are training
sessions at the Annual Conference and Leadership Development Institute
for positions such as Bulletin Editor, Public Relations, Webmaster,
Fund Development and Membership.
Reporting
The President-Elect is not required to complete any reports other than
those required of Board Members. As President, the first duty will be
submitting the roster of Chapter Board Members to SLA Headquarters.
Expenses
Submit to the Treasurer requests for reimbursement of out-of-pocket
expenditures with receipts and brief statements concerning the nature
of the expenditures. Typical expenses of the President-Elect include
incidental expenses, especially those incurred when acting for the
Chapter President.
Major expenses include travel to the SLA Leadership Summit where the
employer does not cover those expenses. Advise the President and
Treasurer prior to incurring these expenses. The Chapter budgets for
travel costs up to $1500 for the President to attend either the January
Leadership Summit or the June annual conference annually, and $1500 for
the President-Elect.
