  1. Approval of agenda as amended.
    Addition: under Old Business: SLA President’s Visit; Addition under New Business: SLA WCC Library Crawl; Nominations 2009; Strategic Plan. Approved by Pam Wilkins, seconded by Richard Matiachuk.

  2. Approval of minutes of Board meeting of April 9, 2008 Meeting
    Correction – Pam Wilkins was in attendance by conference call. Minutes accepted as amended, moved by Richard Matiachuk; seconded Grazyna Nawrocka.

  3. President's Report

    Shirley Lew is temporarily filling in as the Discussion List Chair. Pat Sandercock has accepted the position of Calgary Director.

    SLA candidates’ statements for 2009 board positions were recorded and are available to members on the SLA web site.

    The next SLA Leadership Institute will be held in January in Savannah Georgia.

    At SLA Seattle conference, approx. 30 WCC members met for drinks Saturday June 14. The Toronto Chapter hosted the Canadian reception which attracted about 200 people.

    SLA Innovation Laboratory is now available; this resource is free to members. There is a new program called 23 Things, which is a step-by-step learning strategy covering web 2.0 tools. This program is free to members with a Sept 15, 2008 end date.

    Members have complimentary access to Executive Book Summaries and several e-book collections.

    First Five Years Task Force has completed a survey on new information professionals who are in their first five years of practice. The task force is now planning to develop an open web site for information professionals (not just SLA members). Christina de Castell is co-chair of this task force.

  7. SLA Information Ethics Project
    Susan McConkey registered to officially represent WCC as Information Ethics Ambassador. She attended the Global Information Ethics Roundtable in Seattle and reported that the committee is planning on sending out a survey or surveys sometime in the next two to three months to SLA members. This project is expected to be completed in 2009.

  8. SLA WCC History Project (Grazyna Nawrocka)
    Grazyna Nawrocka needs a couple of volunteers to contact past presidents to write about their time as presidents of SLA WCC. She needs help with the design of a questionnaire and then summarizing the material. Susan McConkey mentioned that key events from 2000 need to be added to SLA WCC history. She is compiling a list of key events. Evelyn Taylor volunteered to help with the project. Debbie Schachter proposed that the questionnaire project be discussed later.

  9. Fund Raising
    A major programming sponsor has renewed their support for the period June 2008/June 2009.

  10. Awards
    Robyn McDowell announced that five people have volunteered for the Awards Committee. The committee will initially focus upon marketing WCC awards to members.

  11. SLA WCC President’s Visit
    Vancouver has booked the Terminal City Club for the SLA WCC President’s visit. Edmonton and Calgary are still looking for an evening venue. Pat Sandercock is looking after Calgary visit, Weiwei Shi is looking after Edmonton visit, Michelle Mallette is looking after the student visits at UBC and UofA; Michelle Mallette, Debbie Schacter and Lesley Perkins are organizing Vancouver visit ; Janice Ludberg and Sherri Vokey are responsible for Manitoba visit.

    Stephen is scheduled to be in Vancouver – October 27; Edmonton – October 28; Calgary – October 29; Winnipeg – October 30

    SLA will do the hotel booking. Susan McConkey will compile a shedule to be sent to Stephen Abram and SLA.

  13. Archives (Grazyna Nawrocka)
    Data entry on files is almost completed. Grazyna requested that board members send documents to her before the AGM. All emails need to be printed out. She is requesting documents such as committee reports, projects, and work with the SLA Headquarters. All electronic forms and the old web sites need to be sent in electronic format and printed whenever possible.

  14. SLA Centennial 2009 – Gala Support – Susan McConkey
    The SLA Conference Planning Group is seeking sponsorship support from chapters and divisions to fund a gala event at the SLA 2009 Conference in Washington. The suggested minimum support is $5000 and the maximum is $30,000.The board discussed gala support request.

    Susan McConkey has written to Toronto and Eastern Canada chapters regarding gala event support. She will report responses at the next board meeting.


  15. SLA Focus Group in Vancouver – Christina de Castell
    Debbie Millward hosted SLA Focus Group at Pacific Press, which included past presidents and current board members. The session focused upon SLA branding, language and phrasing that describe the name of the organization and ourselves, where we are going, and value to our organizations. Janice Lachance, SLA CEO, attended.

  16. Nomination Committee – Christina de Castell
    Christina de Castell is looking for names of people who may be interested in serving in a director’s position on the 2009 SLA WCC Board. She will be contacting board members regarding 2009 positions.

  17. SLA WCC Library Crawl – Michelle Mallette
    The Library Crawl is being planned for two Fridays during the last two weeks of September. Michelle Mallette and Pam Wilkins are looking for volunteers to help plan this event in Vancouver and Victoria.

  18. Strategic Plan – Susan McConkey
    Debbie Schachter, Robyn McDowell and Susan McConkey will work on a new 3 year strategic plan this summer.

  • Received & deposited the annual Allotment cheque from SLA.
  • As of December 31, 2007 we had 213 members o Chapter allotments are calculated as $14.40 per member.
  • Received & signed FPInfomart (CanWest) 2008 – 2009 Letter of Agreement for their sponsorship
  • Received & deposited FPInfomart (CanWest) sponsorship cheque
  • Attended one of the Vancouver events with Ulla de Stricker

SLA WCC Archives Chair Report - Grazyna Nawrocka,

  • Finished sorting and weeding of our archival collection
  • Expanded existing classification, re-classified some documents, classified new ones
  • Attended: Ula de Sticker presentations on May 14th and 15th
  • Participated in annual meeting of government and legal librarians that was organized by BCLA
  • Corresponded with John Latham
  • Created MS Access database for our documents and entered archival information (almost done)
  • Took part in SLA Annual Conference in Seattle
  • Composed article about my conference impressions

Alberta (Edmonton) Director Report - Weiwei Shi

  • Responded to requests for access to virtual programs. 
  • Contacted MacEwan College Library Technician program for Stephen Abram's visit
  • Contacted the president of LAA and GELA for advertising Abram's visit, and ask their interests for interviewing him. 
  • Checked with EPL for their facilities' availability to host the evening event for Abram's visit. 

BC(Victoria) Director Report - Pamela Wilkins

  • Since our last meeting I participated in the annual meeting of government and legal librarians that was organized by BCLA

BC Director (Vancouver) - Lesley Perkins

  • Organized Ulla de Stricker sessions
  • Responded to ongoing requests for access info to virtual programs
  • Participated in SLA focus group

Manitoba Director - Janice Ludberg

  • Since the last meeting,  I have met with personnel from the Library Technician Program, Red River College. Together we are planning the Stephen Abram event for Winnipeg.

SLA WCC Bulletin Editor - Anne O'Shea

  • Published the Spring 2008 issue of Wired West
  • Solicited content and conference reports for the Summer 2008 issue of Wired West
  • Attended the Ulla de Stricker event
  • Presented a contributed paper at the SLA conference in Seattle
 

Virtual Programs Chair Report -  Barb Storms

  • purchased, tested and promoted 3 Virtual Replay programs:  Electronic collection development Parts 1 and 2: E-Library Collection Planning and E-library Collection Strategies, Organization and Maintenance; and,  Tough Questions - Good Answers
  • responded to queries regarding problems with access due to login changes instituted by SLA HQ  in early June

Student Liaison Chair Report - Michelle Mallette

  • Welcomed Ulla de Stricker for SLA student chapter event at SLAIS. Attendance was about 25.
  • Promoted special libraries mixer event for students in Ottawa
  • Provided student scholarship info for the web site
  • Finalized details for Stephen Abram presentation to students at at U of A's SLIS and SLAIS at UBC.

Discussion List Committee Chair Report – Deborah Copeman

  • responded to list subscription requests
  • forwarded messages to the list as requested
  • contacted new members to invite them to join the list
  • met with my successor, Alex McNeur, to go over the duties of the position and hand over resources
  • answered queries and trouble-shooted problems from list members
  • The list currently has 420 members.

Membership Chair – Evelyn Taylor

  • Sent the Welcome Letter to 18 new members from March and April  (May's list not yet received)
  • Attended Ula de Sticker presentation on May 14th 
  • Attended SLA Annual Conference in Seattle, including Canadian reception and WCC reception.
