Approval of minutes of Board meeting of Feb 9, 2008 Meeting
Changes - Deborah Copeman attendance in Vancouver; add Leslie Perkins, Janice Ludberg in attendance online. Correction: Approval of revised minutes October 10, 2007. Correction : Deborah Copeman suggested library crawl; Meeting Dates June 25th not June 28th.

Minutes accepted as amended, moved by Richard Matiachuk and seconded by Robyn McDowell. Passed unanimously.

BUSINESS FOR DISCUSSION

President’s Report: Susan McConkey

Shirley Lew has agreed to be Communications Director.

Anne Gregory will perform the duties of Employment Chair unofficially for the present. Employment listings coverage will cover Western Canada region only.

SLA held live training sessions for different leadership positions; these sessions were recorded and are available on the SLA web site.

SLA has added two wickis: "Idea Bank" has been set for chapters and divisions; and a Centennial wiki.

Treasurer's report - Richard Matiachuk

Nothing to report.

Secretary's Report - Shelley Tegart

Some activity reports have not been received.

Old (Continuing) Business

SLA Ethics Ambassador Project - Susan McConkey

Susan McConkey will join the SLA Ethics Ambassador listserv and if possible, attend project session at the conference.

Fund Raising - Susan McConkey & Robyn McDowell

Robyn McDowell will continue to seek a sponsor for WCC travel grant.

Board members should send any potential sponsor names to Susan McConkey.

Awards Update - Robyn McDowell

Robyn McDowell wrote an article for Wired West about WCC awards. Discussion about promoting awards: create marketing plan, advertise to other library associations' members; travel grant winner can provide some feedback. Submissions for the travel grant and award are needed by the end of October.

Student Membership Awards: Student memberships (by draw) should be given out in the Fall. Comment: memberships should be given in regions where WCC is active.

Chapter Programming

Vancouver: Leslie Perkins reported that Copyright seminar with Paul Whitney was held April 8th. 25 people attended. Costs were reasonable at Sandman Hotel. Ulla De Stricker event is planned for May.

Vancouver Library Crawl: postponed until fall. Michelle Mallette and Deborah Copeman will review timing: could use this event to attract cooperative student placements to Vancouver and Victoria libraries.

Edmonton: Weiwei Shi indicated that Edmonton relies upon virtual programs. SLA president visit in the fall may raise SLA WCC profile.

Calgary: WCC Calgary Planning Committee has not met.

Manitoba: Janice Ludberg reported that the region depends upon virtual programs; 2008 live event planned is SLA President visit.

Saskatchewan: relies upon virtual programs.

Virtual programs: Barb Storms has purchased several virtual programs. Regional directors should send her any user statistics.

New Business

SLA WCC Centennial History Project

SLA is encouraging chapters to write a chapter history. Patricia Cia was one of the authors of SLA WCC history document on WCC web site. Information is current to 2000.

We need 2 or 3 people to participate in the Centennial history project. Grazyna hopes to complete updating archival records in June. Susan McConkey will review web site for information that could be used to update chapter history.

Suggestions for centennial year (2009): articles in Wired West newsletter on the history of the chapter; focus on present and past members who have contributed to WCC; list our past presidents and interview them; ask for suggestions from our members on how to celebrate this anniversary.

SLA WCC President's Visit

Susan McConkey reported SLA President Stephen Abram chapter visit is including visits to Vancouver, Calgary, Edmonton and Winnipeg. He is interested in meeting with students from library technician and library science programs as well as members.

In Vancouver, Michelle Mallette, Lesley Perkins and Debbie Schachter will plan Stephen's visit to Vancouver. In Edmonton Michelle Mallette, Wewei Shi and Barb Storms will plan Edmonton visit. Susan McConkey along with Calgary members will put together Calgary schedule; Janice Ludberg along with Sherri V. and Manitoba members will plan Manitoba visit.

Student memberships: membership door prizes decision postponed. With final schedule, consider membership door prizes to be awarded during president's visit.

Visit Plans: Consider possible press coverage for Stephen's visit - other associations could interview president etc. Each city - consider budget for each city visit. Consider need for sponsorship support. Michelle Mallette says that SLAIS will pay for the refreshments at UBC.

At June meeting discuss visit, schedule and budget further.

SLA 2008 Conference - Seattle

Susan McConkey will announce in June a time and venue for chapter members to meet for drinks at SLA conference.

Some board members attending conference are Deborah Copeman, Anne O'Shea, Grazyna Nawrocka, Robyn McDowell, Richard Matiachuk, Debbie Schachter and Susan McConkey.

BC(Victoria) Director Report - Pamela Wilkins

  • Since last SLA WCC meeting, I have brainstormed with SLA discussion list chair with respect to Victoria locations for SLA SLAIS library crawl.

BC Director (Vancouver) for February - April 2008 - Lesley Perkins

  • Planned, organized, advertised and hosted the January 28 event with Lee Iverson on Digital Libraries; submitted my report to Richard Matiachuk
  • Responded to requests for access to Virtual Programs
  • Searched for new reasonably-priced venues for downtown events (VPL is on longer free for us)
  • Contacted Paul Whitney - planned, organized, advertised (and about to host) the April 8 event on Copyright
  • Contacted Ulla de Stricker - planned and organized 3 separate Ulla events in May; contacted Michelle Mallette regarding holding free session at SLAIS and liaised with SLA@SLAIS student rep on the announcement; booked venue for paid sessions downtown; sent information to Debbie Schachter; see SLA WCC Programs webpage for details
  • Contacted other possible speakers for Fall events
  • Discussed the Program Director (Vancouver) position, and programming budgets, with Susan McConkey.

Manitoba Director - Janice Ludberg

  • Communication with Library and Information Technology Programme, River River College re: shared local co-ordination of Stephen Abrams tour

Virtual Programs Chair Report -  Barb Storms

  • Finalized the selection and scheduling of the 2008 Virtual Replay programs
  • Made arrangements for the first program to be offered during my vacation absence - Thanks, Susan!!
  • Purchased, tested and promoted the second virtual program: Making a Business Case

Student Liaison Chair Report - Michelle Mallette

  • Arranged for SLAIS student chapter to host Ulla de Stricker May 14
  • Arranged for SLAIS student chapter and and University of Alberta SLIS to host President Stephen Abram, October 27 & 28.
  • Arranged for awarding of SLA student membership to Sue Bradley of SLAIS
  • Posted several scholarship opportunities to both SLAIS and U of A SLIS students.
  • Began work with student chapter and Deb Copeman on SLA "Library Crawl" for students; this has been postponed to December.
  • Helped organize SLAIS Meet the Grad night, and promoted to SLA list.

Discussion List Committee Chair Report – Deborah Copeman

  • Responded to list subscription requests
  • Responded to inquiries
  • Forwarded messages to the list as requested
  • Participated in a webinar provided by SLA HQ for all SLA list managers
  • Began work with Michelle Mallette, Pam Wilkins and SLA SLAIS members on SLA "Library Crawl"
  • The list currently has 417 members.
  • Edited and published the Winter 2008 issue.
