BUSINESS FOR DISCUSSION
President’s Report:
- Leadership Institute: Christina has written a summary in Wired West for February 15 issue
- Regional conference financials/liability: The executive is responsible for approx. $19,000 if the conference is cancelled. PNW and Oregon chapters are not able to cover their portion of the financial liability and so HQ has suggested that they should not spend their allotment until after registration. We have sufficient funds in our account to cover our third.
Secretary's Report:
Nothing to report
Treasurer's Report and Budget — Debbie Schachter
If anyone has any concerns, please contact Debbie.
Regional Conference Chair's report — Sandra Wong (as reported by Christina)
The Conference website is being hosted by the WCC and Susannah Tredwell is the webmaster. The call for proposals will go out as soon as the website is up and running. Bob Boiko has been confirmed as the keynote speaker. The joint conference steering committee is working on securing funding.
Unfinished Business
- Recommended Practices (Christina, Keith Low, Tanya Evancio) : Three positions are still pending: Secretary, Archives and PR Chair. Christina and Keith will review and circulate back to everyone for comment.
- Canadian reception in Baltimore - volunteers? (Christina Zeller) : Susan McConkey, Keith Low and Susanne McBeath have volunteered, and Debbie Schachter will assist with food planning. There will be no charge for the room. Micromedia has pulled their sponsorship of this event and Christina will talk to other chapters regarding funding for future receptions. We will seek other sponsors, and scale back event if necessary.
- Online event registration (Deborah Hutchison): Deborah will send a brief report to begin an email discussion of the three options available.
- Advertising policy for Wired West (Frances Main): The advertising committee will review the proposed policy in order to address the issue of how to incorporate requests to reach our members to promote specific products.
New Business
- Nominations/board slate for 2006/2007: Chairs required include: Fund Development; Public Relations, Discussion List and Archives and Christina will be appointing new ones. Christina will send an email regarding the vacating Directors positions. Claudette will strike the nominations committee. A discussion list notice will be sent out for President Elect.
- Funding for president/president-elect travel for new fiscal year: Christina and Keith will discuss the issue of funding the attendance of both the president and the president elect at the Leadership Summit, versus funding the president to attend the Summit and the annual conference.
- There will be no change in the student scholarship award for this year. This summer, the fund development chair will look into securing funding for: a student to attend the annual conference as part of the scholarship award, and for a nominated member to attend Northern Exposure.
- 2 AGMs: One AGM will be held in December or late November. Instead of holding an AGM in May, we will hold electronic votes in April or May, combined with a regular board meeting.
Motion to adjourn: by Jenny Fry, at 9:40am PST.
