SCOPE AND CONTENT:

The series consists of the Western Canada Chapter's original by-laws and subsequent amendments. The series outlines the evolution of the rules governing chapter membership, governance, nominations, elections, meetings, the creation of special committees and groups, and the use of funds and property.

ADMINISTRATIVE HISTORY:

The chapter administration is handled by an executive board of elected chapter members. From 1982 to 1985, when the chapter possessed provisional chapter status, the board was appointed. The chapter president is the chief executive officer of the board, and provides general supervision and control to the executive. The chapter president's full term is three years: year one is spent as president elect, learning the role from the current president; year two is spent as chapter president; and year three is spent as past president, providing guidance to the current president. The chapter president and president-elect are also members of the SLA Chapter Cabinet, where all chapter presidents and presidents-elect represent their chapter's interests on matters considered by the association's Board of Directors.

The WCC Executive Board originally consisted of six members, including the president, president-elect, and past president. The remaining members were the secretary-treasurer and two regional directors appointed by the chapter president. One regional director was from Alberta/British Columbia and the other from Saskatchewan/Manitoba/Yukon/Northwest Territories. In 1993, the number of directors increased to six, with two from British Columbia, two from Alberta, one from Saskatchewan, and one representing Manitoba and the territories in WCC's boundaries. In 1999, following the creation of Nunavut Territory, the final regional directorship's boundaries were changed to include this territory. The Executive Board conducts its business at executive meetings, which are held on a regular to monthly basis. Annual general meetings are held each year. Twice each year, members of the executive also attend association conferences: a winter meeting is normally held in January while the annual association meeting is held in the early summer.

SCOPE AND CONTENT:

The series contains records produced by various members of the Executive Board in the administration of the chapter, chronicling the government of the Western Canada Chapter since its inception. Arranged in five sub-series: 1. Executive meeting minutes and agendas (1983-2000); 2. Annual general meeting records (1986-1999); 3. Financial records (1982-1996); 4. Administrative reports and publications (1988-1995); 5. Chapter Annual Reports to HQ(1996-1998).

The sub-series consists of the agendas and meeting minutes of the WCC Executive Board. Includes some related correspondence and memoranda. The sub-series illustrates the major decisions made by the executive as well as the factors influencing those decisions.

SCOPE AND CONTENT:

The sub-series consists of records generated at the Western Canada Chapter's annual general meetings held each spring. These records include meeting minutes and agendas as well as annual reports from the president, Executive Board members, and committees. The sub-series reveals the yearly progress and achievements of the WCC.

ADMINISTRATIVE HISTORY:

The secretary-treasurer was originally responsible for administering the chapter's bank accounts, preparing financial statements, and keeping executive meeting minutes. In 1999, the position of secretary-treasurer was split into two positions, with the treasurer maintaining financial responsibilities and the secretary responsible for keeping minutes.

SCOPE AND CONTENT:

The sub-series consists of records produced by the secretary-treasurer in fulfilling his or her obligations as financial recordkeeper of the chapter. It contains financial statements, both unaudited and official annual reports.

SCOPE AND CONTENT:

The subseries consists of records produced by the Executive Board to assist in the chapter's administration. Subseries contains the Executive Handbook (1989), the WCC Procedures Manual (1988), various Strategic Planning Reports (1993-1995), and communiqués from the president to the executive on various issues (1992-1993).

The subseries consists of the copies of the official Chapter Annual Report that is submitted to SLA headquarters annually by the chapter president. The Chapter Annual report contains a questionnaire relating to chapter administration, finances, programs and membership.

SCOPE AND CONTENT:

The series thoroughly documents most programs, conferences, and events sponsored and hosted by the Western Canada Chapter. It offers insight into the memberships' interests as well as changing trends in special librarianship, including a growing emphasis on the role of information technology. The series contains publicity and promotional materials from programs, correspondence to and from the WCC generated in the organization of programs, correspondence to members regarding the programs, program summary evaluations, Program Committee meeting minutes, planning notes, and photographs taken at several events. The series provides considerable information on the Program Committee, and its successor, the Professional Development Committee, who were responsible for the planning and organization of events. Includes the document List of activities hosted or co-hosted by the WCC, written by Carol Williams, Patricia Cia and Joleen Wright in August 2000 on the occasion of the Chapter's 15th anniversary.

SCOPE AND CONTENT:

Series primarily consists of the material produced by the WCC for its members' information. This includes employment manuals and the chapter newsletter which has gone by several names: Alert (1983-1987); Chapter Eight (1987-1996); On the Edge: The Magazine for Western Canada's Information Professionals (1996-1998); and Wired West: The Web Journal of the SLA Western Canada Chapter (1998-). In addition, the series also contains some of the Pacific Northwest Chapter's newsletter, Interface. The newsletters in particular provide insight into the interests, concerns, and management of the chapter.

SCOPE AND CONTENT:

The series documents the founding of the Western Canada Chapter, and its road from provisional to full chapter. In particular, the series highlights the boundary dispute between the Western Canada Provisional Chapter and the Pacific Northwest Chapter. The series primarily contains correspondence, including that to and from other chapters and to SLA members, as well as copies of the petition to form the chapter. Also includes the documents Special Libraries Association: Western Canada Chapter: A history and Continuing themes and significant events compiled by Patricia Cia and Carol Williams in August 2000 for the chapter's 15th anniversary.
