President’s Message
By Becky Carvajal, GlaxoSmithKline

With my term as president of VASLA coming to a close (and my annual performance and development plan review at work), I took the opportunity to reflect on the past year and a half, and all my experiences with this remarkable group.

Shortly after the leadership transition, September 2005 brought the third South Atlantic Regional Conference (SARC3) to Williamsburg. Members of VASLA volunteered countless hours to plan, organize and deliver a very successful event, continuing in the tradition of Asheville and Charleston.

In February and March 2006, VASLA members around the state attended local networking lunches and dinners. Each event was attended by a member of the VASLA board. It was truly a pleasure to meet with members from the various areas around the state and to gather their ideas about anything from meeting programs and locations to VASLA’s membership recruitment strategy. I look forward to attending again this year.

April 2006 was VASLA’s 40th anniversary celebration. Members from throughout the state gathered in Richmond, at the beautiful and historic Virginia House to celebrate. The speaker for the celebration was Rebecca Vargha, VASLA president-elect (at the time), who offered some unique historical perspectives on how the Chapter, Association, and even society have evolved over the years.

We were fortunate that the Annual SLA Conference in June was in Baltimore. The proximity of the location to Virginia enabled many members to attend. The conference provided wonderful opportunities for both learning and networking.

Finally, throughout the year, VASLA members were able to participate in interesting programs covering a variety of topics including disaster preparedness and even a librarian’s Semester@Sea. The meetings have also given people a chance to gather and network on a regular basis.

The varied and valuable contributions of VASLA members throughout the past 18 months have raised both the regional and national profile of our organization in a very positive manner. I hope that we will continue to support our Chapter members as they continue to advance their professional development within the organization. I would also like to, once again, invite anyone interested in participating more fully to let the Board know of your interest. Many thanks to the members of the Board, who have made being President for the past 18 months a pleasure. And best wishes to those continuing on the Board, as well as new members, for continued success.

Regards,
Becky Carvajal

Program Summaries

Preservation for Special Libraries
VASLA Fall Program
October 13, 2006
By Tina Noblitt, Co-editor

Holly Robertson, Preservation Librarian for the University of Virginia Library presented this highly informative program on preservation planning tips for special libraries. While Holly is a recent library school graduate, MLIS, University of Texas at Austin, 2005, she has numerous, interesting work experiences in the preservation field to share with colleagues. The major themes touched on were 1) Conservation: assessment, care and handling, and reformation 2) Disaster Preparedness 3) Environmental Monitoring and 4) Grants for Preservation Activities. The best piece of information I took away from this program is so much information is provided for libraries that I will not have to start from ground zero to develop a disaster recovery or preservation program for my library. Many of the web sites Holly shared with us have forms which can be downloaded then adapted to your institution. Following are some web sites you may want to check out:

http://www.lib.virginia.edu/preservation/

http://www.nedcc.org/home.php

http://www.dplan.org/

http://www.ccaha.org/

http://www.thehfgroup.com/

http://aic.stanford.edu/

http://www.solinet.net/preservation/

Several books were recommended to aid in your development of a plan, following are two of them:

Field Guide to Emergency Response located at the following site https://www.heritagepreservation.org/catalog/product.asp?IntProdID=33

Preservation and Conservation for Libraries and Archives, by Nelly Balloffet, Jenny Hille, Judith Reed. ISBN: 0838908799

You may be saying to yourself, “Why plan for a disaster?” This is Holly’s response:

  • to provide for the safety of patrons and staff
  • to maintain the institution’s ability to continue functioning during and after a major emergency
  • to reduce damage to collections
  • to decrease the amount of time it takes to implement disaster recovery procedures

You can be the librarian that is prepared and rises to the occasion and handles the situation in a professional manner. Or you can be the librarian who says the chance of this happening is so small I will take the gamble and not prepare. Then if you ever find yourself in a disaster situation, when you are overwhelmed you will be scrambling to salvage your collection and keep your library open and functioning. Make the choice to be a professional and develop a preservation and disaster recovery plan for your library.

Semester at Sea
VASLA Winter Program
December 8, 2006
By Tina Noblitt, Co-editor

Barbie Selby, Librarian for Research and Information Services for the University of Virginia Library presented this fascinating program on being a Librarian at Sea. Semester at Sea, a global studies program administered by the institute for Shipboard Education and academically sponsored by the University of Virginia beginning with the summer 2006 semester, takes students from colleges and universities across the United States and abroad, around the world each fall and spring semester. Also, there is a regional 65-day summer program which takes students to countries in the Pacific Rim and this is the program Barbie supported with her library skills.

During the time UVA is the academic sponsor, the head librarian of the Semester at Sea shipboard campus will be from a UVA library. There is one assistant librarian position per voyage and this individual does not have to be from a UVA library. The librarians are responsible for the operation of the 13,000+ volume shipboard library during the semester voyage. Duties include development of the assignments and schedules for work-study student assistants, provision of reference service for faculty, students, and staff, circulation of materials, collection review and development, preparation of materials for each port and maintenance of the video collection. According to Barbie, a major challenge was keeping the online databases operating. Barbie worked long hours, the library was open from 8 AM till 11 PM. The summer program has no assistant librarian, so she only had the help of the work-study student assistants. It was an experience she will treasure for a life time.
