San Francisco Bay Region Chapter, Special Libraries Association Advisory Council Meeting PGE Energy Center, Library 851 Howard Street, San Francisco June 24, 2004 Present: Deb Hunt, Robert Burke, Elyse Eisner, Lauri Flynn, Beth Graham, Tamara Horacek, Debbie Jan, Barbara Janis, Saundra Lormand, Jeffery Mah, Sandy Malloy, Michele McGinnis, Dunn Miller, Wess Murdough, Maggie O'Brien, Chris Orr, Camille Reynolds, Joshua Richardson, Nick Robinson, Michael Sholinbeck, Bruce Thomas, Linda Vida, Marlene Vogelsang, Eris Weaver, Bonnie Willdorf, Karin Zilla, The meeting was called to order at 6:08 pm. 1. Beth welcomed everyone to the Advisory Council meeting and asked for folks to introduce themselves. She reviewed the accomplishments of the past year. Advertising and Fundraising were folded into a new Vendor Relations Committee. There has been an increase in student attendance at the dinner meetings; any ideas to further boost general attendance at meetings should be sent to Camille. Beth thanked the board and council for the tremendous amount of work they completed during the year. SLA has reincorporated in New York. Now recommended practices and governing documents are used. 2. The February 18, 2004 meeting minutes were approved as written. 3. Treasurer's Reports Jeffery provided a printed Treasurer's and Finance Committee status report through May 31, 2004. The checking account balance went up to over $12,000 and there are only a few more items he is waiting for to come in. The meeting expenses category now includes an entry for board and committee meetings. 4. Budget Report and Due Dates - Wess Murdough Wess handed out the FY 2004/05 committee budget request forms. The forms have been pre-filled out with income and expenses from last year. The deadline for budget requests to be returned to Wess is July 23, 2004. Forms can be faxed to Wess. 5. Program Update - Lauri/Barbara The program schedule was distributed. Our 80th anniversary will be celebrated at the Society of California Pioneers on September 23rd. In October the Director of the Bancroft Library is speaking at the UCB Faculty Club. Craig Newmark from Craig's List is speaking in March. 6. Announcements Beth - Maggie had a great idea to send a 125th Anniversary congratulatory letter to San Francisco Public Library and Beth sent one. The letter will be published in the next Bayline and it will be distributed with these minutes. Old Business 7. Bylaws and Procedural Updates - Tamara/Maggie Went through our bylaws and best practices and changed them to conform to the new SLA system of governing documents. Chairs should review at their procedures and send changes to Beth. 8. Twinning Project Update - Bonnie Nothing new to report. The chapter selected a librarian from India last April and paid for a 2 year SLA membership for her. She has joined the chapter's discussion list and the secretary is the chapter liaison. New Business 9. The next joint Advisory Board/Executive Board meeting will be August 26th. Light dinner at 5:30 and the meeting starts at 6. The location is TBD. 10. Contact Information (verification) The Executive Board and Advisory Council roster was handed out. Deb requested that folks send her corrections ASAP. Some corrections were noted. 11. Leadership Code of Responsibility Form Forms were handed out. Folks were asked to sign and return the forms to Deb by July 15th. Deb will turn in all the forms for the chapter. 12. Committee Chair Responsibilities - Deb: Mentors, Meetings, Communication Deb distributed the mentor list and reminded the mentors to check in with their mentees at least once/month for committee updates, answer questions, or discuss other issues that arise. Mentees should feel free to contract their mentors or Deb at any time. If you need help, just ask. Don't wait until you are overwhelmed; there are plenty of people that can help. Brief Committee Reports * Academic Relations - Camille - Year went well. There was SIMS reception in the Fall on job hunting. Taking the time to recognize each student at the dinner meetings worked well. More outreach will be done especially to the library technician programs at City College of San Francisco and DVC. Deb will invite AnnaLee Saxenian, SIMS Dean, and Blanche Woolls, San Jose State Dean, to our 80th anniversary dinner meeting. Camille reminded the committee chairs to consider having students on their committees. * Archives - Tamara - Retention schedules were sent out. Send material older than 5 years but don't send material that shouldn't be retained forever. Anecdotal material might be interesting to keep for historical events in the future. * Bulletin - Josh - Bayline index is on the web. Computer and software has been passed to Dunn. If anyone has ideas of what to do with the old computer, please send them to Deb. * Credit Cards - Deb - Bill continuing. * Directory - Beth/Bruce - The chapter has a printed SA/SF directory for sale ($20), which has indexes not available from the web download. The printed directory will be updated quarterly and will only be available to members. For $60, members can get a printed directory plus updates for a year. * Discussion List Administrator - Deb - Asked the Advisory Board to subscribe. 2 weeks ago the server was changed. * Government Relations - Unfilled last year. * Hospitality - Saundra - Last year was the first time there were 2 co-chairs. Worked well. Hospitality is looking for door prize ideas. * Jobline - Beth - We will start hosting July 2nd. * Networking - Karin - No problems. Mostly followed what Ava Goldman sends out to the Sierra-Nevada Chapter. * Nominating - Eris - Jaye chairing next year. * Program - Barbara - 6 programs have been scheduled. April Neighborhood dinner meeting coordinators will decide the days for the dinner meetings. Will try not to conflict with SA neighborhood meetings. * Professional Development - Linda - Had 2 half-day programs, one on communication/career development w/BayNet and the other on blogging. Used MonkeySurvey for the program evaluation. Had 2/3 response rate and received more thoughtful responses. * Reflector - Deb - No problems. * Strategic Planning - Marlene - Thanked Rita for overseeing the last survey. The new Strategic Plan was submitted to the Executive Board earlier today. Most of the goals from the previous strategic plan have been achieved. * Tours - Sandy- 2 tours were held last year, San Francisco Performing Arts Library and Museum and California Library of Natural Sounds at the Oakland Museum. If anyone has suggestions for new venues that don't charge, please let her know. * Web - Michael - Work is moving along to move our web site to a SLA server this summer. Prior to the migration, a snapshot of the web site will be burned on a CD for the archives. * Web Special Projects - Nick - Showed off the new web site look. Bob Lormand, a former Chapter member, was the consultant who helped work on the design. The site looks snazzy and can be previewed at: www.rhinopub.com/sfsla/sfsla-home.html This is a major redesign with emphasis placed on functionality and content. The navigation has changed and we will have search capabilities. SLA Conference Notes About 3800 attendees. The SLA calendar is changing from fiscal year to calendar year. There was some discussion of the SLA Annual Campaign for Professional Development to enhance the professional development offerings and develop an online learning system.
