Moving Your Special Library
Wyeth-Ayerst Research

Our meeting started with an open house in the Wyeth-Ayerst Research Library. Janet Cooper Weiss graciously allowed us to network and view the collection. We moved to the cafeteria for pizza and then to the auditorium for our panel discussion about moving a special library, moderated by Ruth Weitzenfeld.

Jan Watterworth has moved the Mathematica Policy Research library several times. She emphasized that you must work with the architect to plan from the beginning. Advance preparation is the key to a successful move. Anticipate what can go wrong. She recommended soliciting suggestions about design from you customers. Pay attention to all of the details including: workstations, ADA-compatible aisles, electrical outlet placement, network and phone lines, fire extinguishers, smoke alarms and sprinkler placement. She discussed the pros and cons of using boxes or using movable shelves. Jan had handouts with suggestions for planning, weeding, packing and unpacking, and a bibliography of recommended materials.

Mitchell Brown discussed the renovation of Princeton University's Fine Library. This project involved space renovation and combining the on-site collection with a collection from another location to create the Biology/Mathematics/Physics Library. Two distinct collections had to be interfiled in the renovated space. The professional staffs were combined and the library created a new identity. The library remained open throughout the renovation. Mitchell stressed the details of planning and implementation including careful review and negotiation of the moving contract, and the pros and cons of moving yourself or using commercial movers. He said to set realistic goals and expect delays.

Finally, Gloria Dinerman of The Library Co-op gave words of wisdom based on her years of assisting clients in their library moves. She stated that good planning and communication are the keys to a successful move. Questions from the audience were addressed to all three panelists.
