MINUTES FROM THE CPC-SLA MEETING
Friday, March 12, 2004
Joint State Government Commission

Attendees: Paige Andrew, Sandra Blust, Jennifer Cessna, Craig Haggit, Paula Heiman, Janet Hughes, Helen Khanzhina, Elizabeth Laughlin, Virginia Lingle, Deborah Lovett, Glenn McGuigan, Joan McInnis, Tara Murray, Amy Paster, Carolyn Pfeifer, Margaret Ross, Robert Seeds, Gayle Stauffer, Beth Transue, and Sandra Wood; guests Nan Butkovich and William Harnish; and Rebecca Albitz from Penn State who presented the program.
Call to Order: After a greeting from David L. Hostetter, Executive Director of Joint State Government Commission, President Glenn McGuigan called the meeting to order at 10:30 a.m. Glenn introduced Sandy Wood, the first president of the Central Pennsylvania Chapter (1980-81), and Virginia Lingle, president in 1991-2 and 1994-5.
Minutes: A motion to accept the minutes from the December 12, 2003, meeting was made by Jennifer and seconded by Peggy. The motion was approved.
Treasurer's Report: Peggy distributed copies of the Treasurer’s Report. The balance on hand as of March 12 is $3,533.66 in the regular account and $2,766.39 in the pooled account. Paige moved acceptance of the report. The motion was seconded by Joan and approved.
Reports:
- Membership - Deborah Lovett
Currently the chapter has sixty-seven members. SLA has instituted a new electronic reporting system and will not be sending out renewal reminders. Since most members supply an e-mail address on the membership form, meeting notices and newsletters could be sent even if they are not on the Yahoo list. Those who do not have electronic access should receive information through regular mail. - Website - Tara
Tara has posted the new logo and tagline on the website. She will add a 25th Anniversary banner. Beth will now maintain the membership list on Yahoo. - KeyNotes - Peggy
Peggy is planning to distribute the next issue in April. - Program - Tara
Tara is working out the arrangements for the May meeting.
Old Business:
- Governing Documents - Craig
Jennifer has worked on the draft Governing Documents. Virginia, Craig, and Jennifer will review them. The procedures manual will also be reviewed. The documents should be ready by summer. Comments or concerns should be submitted to the committee. - Student Internships/Outreach - Glenn
Several students have contacted Glenn about internships. Peggy will contact Barbara Reed at Clarion to get updated contact information for the two students who were offered memberships.
New Business:
- Nashville Reception - Tara
A reception that will include the New York, New Jersey, Maryland and Philadelphia chapters has been planned for Monday, June 7, from 5-7 p.m. The Pittsburgh chapter has been invited to join the group. CPC has offered to contribute $100.00 towards the expenses. The group would like to locate a corporate sponsor. Jennifer will have Hershey candy shipped to Nashville for the reception which will have an anniversary theme. At this time seven chapter members plan to be in Nashville for the annual conference. - Communities of Practice - Tara
This new resource from SLA will serve as an online community with threaded discussions, f.a.q., and virtual meetings. - SLA DBA - Craig and Glenn
While there was a discussion of branding and a vote on a name change at the annual conference in New York City in 2003, less than two thirds of those present voted in favor of the change. Therefore, the prior name is still official. On February 27, a press release stated that SLA would be using a new naming model (DBA = doing business as).
At the recent leadership meetings in Albuquerque, a vote was taken to allow the Board to investigate ways to have more flexibility in identifying the organization. Janet pointed out that now we will have to explain the meaning of SLA; in the past we had to explain the meaning of Special Libraries. Sandy pointed out that the name of the organization was an issue when this chapter was formed twenty-five years ago. - Nominating Committee - Jennifer will have a list of officers ready for the election at the May meeting. The terms of the two directors should be for two years; the terms should expire in alternate years.
Announcements:
- Legislative Days - Amy announced that Library Legislative Days will be May 3 and 4, 2004, in Washington, D.C.
Paula moved to adjourn the meeting; Deb seconded the motion and the meeting adjourned at 11:35 a.m. The group reconvened at Parev at noon for the 25th Anniversary luncheon. At 1:30 the group again met at Joint State for a session on electronic resource licensing and copyright presented by Becky Albitz. Following a tour of the Joint State Government Commission library, members gathered in the State Museum to view the Pennsylvania Charter given to William Penn by King Charles II in 1681. Archivist Linda Ries pointed out distinctive features of the document.
