President's Message

As most of you know, Ann Fiegen, Karen Holloway and I just returned from the Division and Chapter Officer Leadership Training (DACOLT) at the SLA Winter Meeting in San Francisco. Whether attributable to repetition or not (this was my third DACOLT), my understanding of and appreciation for the Special Libraries Association has grown as a result of this trip.  The SLA leadership is listening more than ever before, and this fact was reflected in a program full of valuable information and opportunities for sharing among chapter and division leaders.

Despite the exhausting wait for luggage at the San Francisco Airport on Wednesday evening, January20, Ann, Karen and I were able to muster enough energy for a great dinner at Scott's Seafood Grill, and a bit of networking in the lounge at the hotel.  Reveille came very soon on Thursday.  DACOLT began in earnest at 8:30 a.m., after a jump-start of coffee and Danish.  Thursday's sessions were informative -- consisting of overviews of SLA structure, introductions of the SLA Board of Directors, Board candidates and SLA staff.  SLA President Suzi Hayes spoke, as did Executive Director David Bender. Barbara Semonche, a library director from North Carolina (and candidate for SLA President-Elect) delivered an enthusiastic presentation about defining and developing leadership in SLA. She shared some key websites for us to share with our membership--sites to answer specific questions about the organization, policies, and procedures, sites to give us insight into strategic planning, mentoring, diversity, and rewarding those we appreciate, and sites designed by individual units. The rest of Thursday consisted of watching a real Board meeting (good to see how it's done), a networking luncheon, a meeting about fiduciary and financial responsibilities of SLA officers (tough subject matter after a huge lunch!), and a strategic planning session followed by examples of actual plans put together by some units. Thursday night the attendees were treated to a Lexis-Nexis/Gale sponsored tour of the 9th Circuit Court of Appeals Building, which was refurbished after surviving the earthquake of 1906.  We had some of the best dim-sum I've ever tasted.

Friday--7:30 a.m.: Short speeches by SLA candidates for office, including our own Karen Holloway who is running for Director.  We then had information meetings about the SLA Staff, the role of the Board, and what was for me, the highlight of the Winter meeting:  The Town Meeting.  Here was where all attendees met to participate in open dialogue about issues facing the membership.  SLA's leadership was just listening at this point, taking notes for future discussion.  The issue that provoked the most response was the debate of whether or not to use the "L" word in our name -- library or librarian.  The unit leaders were charged with taking this debate back to our chapters. To what extent do we change our name to reflect the work we do in these changing times?  Many former library schools have changed their names. What about the meaning of the word "special" in our SLA name?  Some people advocated "specialized" instead. And the dialogue would have gone on for much longer had the moderators not stopped it when they did. What do you think about this issue?  Please send me your ideas, and I'll consolidate them.  I'll send them to the SLA leadership on behalfof the AZ Chapter, and report back to you.

Rest of Friday:  Networking luncheon, meeting about Global 2000, and a wonderful wrap-up banquet.

Saturday:  7:30 a.m. meeting of the Southwest Regional Conference II Planning Committee. Arizona and the Rocky Mountain Chapter are in charge of PR for this conference which will take place April 5-7, 2000, in San Diego.
 
NEWS FLASH:  A logo design by our Treasurer, Polin Lei, was chosen by the committee to represent the conference on all media.  Polin will receive her choice of free conference registration or dollar equivalent.

The PR committee consists of Ann Fiegen (Chair), Laura Bender and Bambi Wessel (Co-chairs).  This leads me into my second NEWS FLASH: Ann Fiegen will be moving to San Diego in February.  She will still be involved with SLA and the Southwest Regional Conference II.  I want to thank her for all the great workshe has done as our President-Elect/Program Chair so far this year.  I am pleased to announce that Carla Smith, an Information Research Specialist at Motorola, has agreed to step in as Interim President-Elect/ Program Chair.  We should have a smooth transition for our programs on March 17, April 15 and in May (date to be announced soon).  The SWRC II committee members will bring Carla up to speed in her new role as Chair of the PR committee.

The Nominating Committee has sent out a call for nominations for 1999/2000 officers. Please consider joining the leadership of your local chapter, and raising the bar on your involvement with this dynamic organization. The deadline to respond to the committee is March 1, 1999.

INTERNATIONAL SPECIAL LIBRARIANS DAY

You won't want to miss the fabulous program planned for International Special Librarians Day during National Library Week (4/12-4/16) on April 15th, 1999. The Thursday of this week has been designated as International Special Librarians Day by the Special Library Association (SLA).  This year the International Librarianship Round Table (ILRT) of the Arizona Library Association (AzLA), along with Tucson Pima Public Libraries (TPPL) and AzSLA are co-sponsoring this event.  The program & reception will take place in Tucson at the University of Arizona, Main Library Room A314 from 4:00-5:30 p.m.  A dinner with the guest speaker will follow the program at one of Tucson's wonderfully diverse restaurants.

We have planned a "full of international flavor" program for this day on which internationally known author, Dr. Margaret W. Musgrove, is our invited speaker.  She is the writer of the award winning title "Ashanti to Zulu: African Traditions", a Caldecott Medal Award winning book.

She is an Assistant Professor in the Writing and Media Dept. at Loyola College. Dr. Musgrove was also a Fulbright Fellow in Ghana, West Africa in 1998.

The focus of her presentation will include her current research on a YA  (young adult) book which is a story set in 19th century Ghana, the role of librarians in promoting the publication of ethnically diverse materials via publishers and the role of academic librarians in assisting college faculty in the education process.

Independent Information Professionals Meet by the Bay

The Association of Independent Information Professionals (AIIP) announces their 13th Annual Conference for information professionals, "Bridges to Better Business."  The conference will be held Thursday through Sunday, April 22-25, 1999, at the Radisson Berkeley Marina Hotel on San Francisco Bay.  The AIIP conferences offer many opportunities to learn, connect and explore the world of the fee-based information-services business.

At their 13th Annual Conference, Tim Andrews, Vice-President and Editor, Dow Jones Interactive Publishing, will be AIIP's Friday keynote speaker.  Andrews will address the challenges facing information providers who serve a growing global marketplace. Friday's concurrent Internet sessions will focus on international information, making effective presentations, and creating a web site. The diversity and skills of AIIP members becomes apparent in the traditional member/exhibitor introductions session, dessert reception, and unique talent show.

Saturday starts with the Roger Summit Inaugural Lecture, "How to Sell Your Business Successfully"-- the sale of Dialog to M.A.I.D.  AIIP is honored and proud to present the first Past-Presidents' Award and Program, named in honor of Dr. Roger Summit. This inaugural lecture will be given by Dr. Summit, who founded Dialog Information Services in Palo Alto, California, in 1972, and guided Dialog as it became the premier commercial database system known throughout the world.

General Sessions on Saturday focus on getting business from colleagues and competitors, and marketing expert Dan Janal on making customers for life. The day ends with a gala banquet at the Mandarin Restaurant in San Francisco's Ghirardelli Square.  Sunday's program features "Copyright and the Information Professional" and concurrent sessions on running the business, legal issues, and updating web sites.

Database-vendor training sessions by Lexis-Nexis, Dow-Jones, Dialog, Northern Light, and the Gale Group are scheduled on Thursday, followed by the First-Timers Orientation for those new to AIIP.  Information-industry exhibits will be open Thursday afternoon and during the day Friday.

Throughout the conference a cyberspace room for attendees offers a convenient way to go online, conference, keep in touch with clients and office staff, visit web-sites recommended by speakers, and practice newly-acquired database skills.

Pre-conference seminars are also scheduled at the Radisson April 19-21 on primary-source information, public records, online competitive-intelligence sources, marketing strategies, and the well-known information brokers seminar.

Registration includes all conference sessions and most meals; for AIIP and SLA members, the cost is $295 before March 1; student registration is $165. Non-member registration is $395. BUSINESS MEETING                December 17, 1998                  Desert Botanical Garden, Phoenix

A presentation by Guy Seeklus, Iron Horse Multimedia, on Fuld War Room, a competitive intelligence training tool on CD-ROM, preceded the business meeting.

Chapter President Laura Bender called the meeting to order at 2:25 p.m.  25 members were in attendance.

Minutes from the August business meeting (published in the August/September Bulletin) and the September and November Strategic Planning meetings (published in the November/December Bulletin) were approved as published.

Executive Board Reports:
President (Laura Bender): Laura led a round of applause for the Executive Board and Officers for their work resulting in the new strategic plan.  Iron Horse Multimedia sponsored the refreshments for the business meeting.  Several other vendors (IAC, Yale, Ebsco) have expressed interest in sponsoring future chapter meetings/activities.

President Elect/Program Chair (Ann Fiegen):

Programs conducted in 1998:
1.  SLA Video Broadcast: Harnessing Internet Potential, October 8, Salt River Project, Tempe (cosponsored with AZALL and AZ ASIS), 32 attendees, $5 charge for members. The chapter lost money on this program, due to the expenses for postal mailings. To minimize mailing costs publicizing future programs, Ann F and Gordon Dutrisac are working to identify email addresses of chapter members. The chapter bought the videotape of this program. The videotape will be kept at the University of Arizona Library.

2.  Knowledge Management, November 18, U AZ Science Library, Tucson. 17 attendees.   No fee was charged, refreshments were donated.

3.  Demonstration of Fuld War Room (in conjunction with chapter business meeting), December 17, Desert Botanical Garden, Phoenix, 26 attendees,  sponsored by Iron Horse Multimedia

Programs planned:
1.  Competitive Intelligence Workshop, February, 1999?

2.  SLA Video Broadcast: De-mystifying the licensing of electronic resources, March 4, 1999

3.  Patent/Trademark Workshop, May, 1999

An acceptable fee for programs was discussed.  Members felt $10-$15 would be good.  Other suggestions should be emailed to Ann F.

Strategic Planning/Past President (Chris Vathis Howell):  Ann Eagan

Ann Eagan distributed copies of the 1999-2001 Strategic Plan.  In many sections, specifics such as names of deliverable owners and target dates need to be added. The plan will be posted and updated on the Chapter Website.  Ann asked that comments be directed to her and/or Chris.

Laura Bender requested that the Strategic Planning Committee send reminders to the chapter over the next several months, so that the plan can be fleshed out.

Treasurer (Polin Lei): On behalf of the Chapter, Polin sent a request to the SLA Executive Boardand Finance Committee that $500 for the Arizona Chapter be included in the 1999 SLA budget.  SLA denied the request.

Starting with 1999, the Chapter Treasurer must provide SLA with a detailed accounting of any expenditure which exceeds $600.

Secretary (Louis Howley): Louis was called to an emergency meeting at Phoenix Public Library. Cinda McClain volunteered to take minutes for the meeting.

Officer Reports

Affirmative Action (Jenny Mueller-Alexander):

No Chapter stationery was available when Jenny had wanted to send an official letter earlier this year.  Linda Shackle developed a chapter logo for stationery and other official Chapter uses.  The logo will be available from the Chapter Web site.

In May, the Chapter approved a letter which Jenny had written to the other local chapters of library associations inquiring if they would be interested in cooperating to develop a program to send librarians to career days at local schools.  AzLA is developing a statewide librarian recruitment program and is better positioned to lead such a thrust.  Jenny will contact them in January, 1999, to see what has been set up and how the AzLA program compares with what this chapter had in mind.
 

From the SLA Affirmative Action Committee:
- There's a minority scholarship available to students.

- There's a minority leadership program with money available ($1000).

- The Chapter needs to acquire the brochures for "Careers in Special Libraries" and "Starting out on the right foot: an invitation for minorities to embark upon careers in Special Librarianship and Information Management" and to make sure we have the updated Affirmative Action Handbook.
 
- SLA is developing a directory of minority SLA members for a Minority Exchange Network.  The application was missing from packet Jenny received.

Bulletin Editor (Dianne Bean): 140 copies of the November/December Bulletin were mailed, down 15 from the previous issue.  The Bulletin will now be published 4 times a year (February, April, August, October).  Submission deadlines for 1999 were set:  February 1, April 1, August 1, and October 1. Since the Bulletins are available on the Chapter Web site, members who do not wish to receive a paper copy should contact Dianne. Dianne encouraged members to submit articles for the next issue by the February 1, 1999, deadline.

A nominating committee for 1999 officer elections was discussed in conjunction with the bulletin submission deadlines.  The 1999 Nominating Committee will be Chris Vathis Howell, Ann Eagan, and Karen Powers.

Bulletin Business Manager (Lisa Bradley):  Renewal letters are being sent to the vendors who currently advertise in the Bulletin.  Since there will be 4 rather than 6 bulletins in 1999, annual rates will remain the same.  Lisa asked that members send her suggestions for additional vendors to contact.

Career Guidance Chair (Ann Strickland):  no report was available.

Chapter Archivist/Webmeister (Jack Mount):  Jack will write a Bulletin article soliciting items known to be missing from the Archives.  Two complete sets of the Bulletin are maintained:  one in Archives, one with the current Bulletin Editor. Jack asked members to continue to send him information to post on the Web site.

Consultant Chair (Lucy Marshall): nothing to report.

Employment Chair (Donna Colletta): no report was available.

Government Relations Chair (Cinda McClain):  Cinda will be seeking a proclamation from Governor Hull in honor of International Special Librarian's Day, 1999.

International Relations Chair (Pat Morris):  The speaker for International Special Librarians Day is Margaret Musgrove, an author of children's books and an Assistant Professor in the Writing and Media Department at Loyola College.  She was a Fulbright Fellow in Ghana, West Africa in 1998.  Her trip is being sponsored by TPPL, AzLA and AzSLA.  AzSLA has been asked to fund the refreshments for the program to be held at the UA Library on Thursday, April 15, 1999.

Her presentation for the AzLA and AzSLA program will include her research on a young adult book which is a story set in 19th century Ghana, the role of librarians in promoting the inclusion of diversity in publications via publishers, and the role of academic librarians in assisting college faculty in the education process.

Pat is attempting to contact Softline (producers of Ethnic News Watch) concerning sponsorship of the AzSLA portion of costs.

Membership Chair (Gordon Dutrisac):  As of November 30, the Chapter had 130 members. Membership and Public Relations are working together on membership recruitment activities.

Networking Chair/Phoenix (Sarah Ashton):  5-10 people have attended each of the meetings this fall.  The first networking dinner was held.  Rather than pick a specific restaurant for 1999 dinners, a type of food will be chosen. The restaurant will be selected based on the geographic mix of those whoRSVP.

ASU's new Geographic Information System was suggested as a topic for a summer meeting.
 
Networking Chair/Tucson (Carol Elliott):  Varying the times for meetings has met with relative success.  The next meeting will be January 15 at Gentle Ben's.

Professional Development (Jennie Oleksak):  Jennie is looking for someone to partner with her in this activity.  Interested members should contact Jennie.

Publications Chair (Laura Bender):  The price of the 1996 Directory of Special Libraries and Collections in Arizona has been reduced to $20.  Plans by SLA to mount such publications on their Web site for access by subscriber password are still in progress.

Public Relations Chair (Bambi Wessel):  Two meetings have been held.
Action items developed by the Committee and any progress on those items:
- Develop relations with media groups
    2-3 groups will be selected, such the Arizona Republic, Arizona Tribune, Phoenix Business Journal.
    A press release is being developed.
- Public Service Announcements: Options pursued:
    - Arizona Diamondbacks baseball -- no recognition available at no cost for group attendance, tickets expensive
    - Phoenix Coyotes hockey -- a free announcement would be made twice during a game attended by a group of chapter members.  With each 40 tickets purchased, 2 tickets would be free or there is a 10% discount for each 20 tickets purchased. Members present supported this option.  The Saturday, March 27 game with Calgary was selected as a tentative date.
    - The Phoenix Mercury WNBA was suggested as another team to investigate.
- Contact public television KAET (Tempe) about members participating during their televised membership drives
- Work with Membership fora recruitment push
    - The goal is to increase the size of the chapter and the level of activity of the membership.
    - Target groups include inactive members, Society of Competitive Intelligence Professionals (SCIP) members, and Az members in other related organizations.

Student Chapter Liaison (Claire Macha):  Claire has been working to revitalize the chapter. 4 tours were held in September and October.

Old Business
Southwest Regional Conference II:  Laura Bender announced that the Arizona and Rocky Mountain chapters shared responsibility for conference publicity.  A contest will be held to select a conference logo.  The prize will be free conference registration or its monetary equivalent.  Anyone is eligible to submit a logo design, except for members of the committee which will select the winner.

Florida Survey update  Ann Eagan had nothing new on the survey.

New Business
Strategic Plan  Members are encouraged to send comments about the plan to anyone on the Executive Board.

Competitive Intelligence workshop  We hope to present this program in conjunction with the Arizona chapter of SCIP.
 
Patent/Trademark Workshop  Presented by Susan Ardis of the University of Texas, the workshop will be held in May in the Phoenix area.  The cost of the workshop itself (Ardis fee, travel, lodging, meals) will be ~$1000.  Ms. Ardis's fee is $150/hour.  SLA charges $150 to award continuing education units.  We're hoping to use a room at ASU with 30 terminals.  Workshop registration will be in the $45-60 range.

Next Business Meetings  February meeting will be held in conjunction with the Competitive Intelligence program; the May meeting at the time of the Patent/Trademark workshop.

Announcements
Laura Bender and Ann Fiegen will attend the SLA Winter Meeting in San Francisco, January 21-23, 1999.

Program Notes

Mark your calendars for some great spring programs. First to come up is a joint program with SCIP on March 17th 12:00--5:00 on Competitive Intelligence.  Col. Jones from Fort Huachuca will talk about how the military trains intelligence officers at the Fort.  This is rare look into some of the best practices and will be time well spent.  Thanks also to the Gale Group who will demonstrate databases that can be used for competitive intelligence gathering. Thanks also to the generous support of the Gale Group for sponsoring this event.

In late May you can expect an excellent workshop by Susan Ardis an expert in Patent and Trademark Searching.  The workshop will be held at Arizona State University with 30 terminals, so all participants will have hands on access. There will be more news to follow about that program. ¨


Report from the Chapter Archivist

I am pleased to announce that the Chapter Archives now has a complete set of the publication Directory of Special Libraries & Special Collections in Arizona, six editions dating from 1981 to 1996.

We also have a complete set of the Chapter Bulletin.  Volume 1, number 1 was published July 1978.

Noticeably missing from the Chapter's Archives are many years of the "Chapter Annual Report" generally prepared by the Chapter President.  If you have any of these reports, please consider donating them to the archives.  The missing years are:  1985, 1987, 1988, 1989, 1990, 1993, 1994, and 1995.

I vaguely remember for some of our past activities such as possibly the 10th Anniversary Celebration, or Special Librarians Day, there may have been proclamations issued either by city mayors or the governor -- if there were, the Archives does not have any of them.  If you know if there were any issued or the whereabouts of any of them, please let me know.

SLA Arizona Chapter  Call for Nominations

Get involved in the Arizona Chapter of the Special Libraries Association! Nominations for President, President-elect, and Secretary are being accepted now.  Nominate yourself or another AZ-SLA member (but get their permission first)!

The usual progression for the presidency is: 1st year--president-elect, 2nd year--president, 3rd year--chair of the strategic planning committee.  Since the current President-Elect has resigned, this year we have to elect a President as well as a president-elect. If the duties of the President appeal to you but not those of the President-elect, this is your chance!

The secretary's and treasurer's terms of office are two years.  The secretary and treasurer are elected in alternate years.

For more information, to express interest or nominate yourself or someone else, please contact Ann Eagan at aeagan@bird.library.arizona.edu. Please respond by Monday, March 1, 1999.  The slate of officers will be announced at the March 17 SLA Business Meeting and the elections will take place at the Annual Business Meeting in May.

Duties of Officers (from the Bylaws):

ARTICLE IV. OFFICERS

Section 1. The president shall be the chief executive officer of the Chapter and, subject to the Executive Board, shall have general supervision and control over its affairs; shall preside at all business meetings of the Chapter and of the Executive Board;  shall recommend to the Board such measures considered desirable to further the objectives and broaden the effectiveness of the Chapter; with the secretary, shall sign all contracts and other legal documents; shall sign all checks drawn upon the Chapter funds as co-signatory with the treasurer, unless determined otherwise be the Executive Board; shall be a member ex-officio of all committees except the Nominating Committee; with the president-elect, shall represent the Chapter at meetings of the Chapter Cabinet during the Association year in which the office is held, or, if either is unable to attend, shall designate a Member, Associate Member or Retired Member of the Chapter to serve as alternate representative; shall prepare such reports as may be required be the Association; and shall be responsible for supervising the preparation of such reports as may be required of other Chapter Officers by the Association.

Section 2. The president-elect shall assist the president in the performance of the duties of the presidency; shall serve as pro tem chair for the Chapter; shall act as program chair for the Chapter;  with the president, shall represent the Chapter at meetings of the Chapter Cabinet during the Association Year in which the office is held; and in the event of absence or withdrawal of the president, shall assume all the duties and obligations of the presidency.

Section 3. The secretary shall keep a record of all meetings of the Chapter and of the Executive Board; with the president, shall sign all contracts and other legal documents; and shall perform such other duties as the president may assign.

What brought me to Tucson:  To return to a university environment and the opportunity to work in an innovative university library.  Having been here just four months, I'm still adjusting to the beautiful desert (considerably different from Virginia) and I sometimes find myself amazed that I picked up and moved to a part of the country that I never had visited.

Why am I involved in SLA:  It's not too big and it's not too small! SLA has been my primary professional organization since 1978, even during the times when I was pursuing interests in publishing and database services.  Being able to exchange ideas with fellow information professionals at meetings as well as online provides all of us with an incredible network of resources. Members are incredibly supportive of colleagues and generous in sharing their successes and lessons-learned. I have been active in chapters and divisions and am now seeking to serve the association on a broader scale by running for a director position on the Board of Directors (Spring 1999 election).

Interests: Reading (primarily contemporary fiction), music (classical, jazz), walking/hiking, swimming, skiing, and any other type of activity that keeps me outdoors.
