December 2000 Meeting Minutes
The meeting was called to order at 2 p.m. Wed. December 6, 2000 at ASU. There were 22 people present, including several visitors.
Laura Bender moved that the minutes from the previous meeting be approved, Carla Smith seconded the motion.
Executive Board Reports:
President-Elect/Program Chair, Beki Welsch: Beki will report under New Business.
Treasurer, Lori Critz: Expenses have been high this last quarter. Since the last report, expenses were 1105.52 and income was 690.00 resulting in a balance of $219.72 in checking. That is low, but we are reluctant to dip into the savings and anticipate several sources of income to be coming soon. The savings holds a total of $3587.10. Expected income for the remainder of fiscal 2000/2001 are earnings from the Southwestern Conference ($2500), income from bulletin advertisers to be paid in January/February ($450), the chapter share of national membership dues ($1600) expected in February and AzLA cost-sharing for the April Career Workshop ($300). Anticipated expenses for fiscal 2000/2001 are two more bulletins ($400-200 each) and stipends for the SLA Annual Meeting in San Antonio for the President and President-Elect ($600-300 each).
Secretary, Valorie Hanni Rice: No report.
Committee Reports
Affirmative Action, Jeanette Mueller-Alexander: No report.
Bulletin Editor, Dianne Bean: There were 130 bulletins mailed last time and she has a few remaining bulletins for distribution. The next bulletin will come out in the end of January.
Bulletin Business Manager, Lisa Bradley: No report, but noted that she would be requesting replacement ad copies from all advertisers.
Career Guidance, Ann Eagan: Ann has corresponded with five people on career guidance requests since the October report. She has also sent out a message to students reminding them to address all or the required and preferred qualifications in replying to job ads.
Chapter Archivist, Wes Rader: No report.
Employment, Ted Johnson: The report gave a breakdown of positions advertised this fall. There were a total of 14 positions--10 Public, 3 Special and 1 Academic. The majority of jobs were professional, with four in technical services, three in administration, six in public service and one for children's services. Maricopa garnered the most jobs advertised with nine, Santa Cruz and Pinal both with two and Pima one. Salary comparisons are difficult due to the number of variables involved, but he did give an overview. Lowest advertised pay for a professional was in Santa Cruz County for a public services librarian in a public library (27K). The highest advertised pay for a professional was in Maricopa County for a branch manager in a public library (44K-62K). Rural counties generally offer lower salaries than urban areas and even then, the salaries are better in the more populous cities.
Government Relations, Cinda McClain: Cinda forwarded a message to the email discussion list this morning in regards to the U.S. National Commission on Libraries and Information Science (NCLIS) asking for comments on a draft report. There is a short deadline, however, as the final report will go to Congress on Dec. 15, 2000. Information about this can be found at www.nclis.gov/govt/assess/assess.html.
International Relations, Pat Morris: She is working on the April International Special Librarians Day program.
Membership, Gordon Dutrisac: There were 121 members as of November 9th, which is a decrease. There were no new members and a few losses. He noted that January is a big renewal cycle for membership.
Networking-Northern AZ, Ann Eagan: No report.
Networking-Phoenix, Sheila Donnelly: Sheila has meeting scheduled for January thru July. The first notice will go out soon and the first meeting will be at the Burton Barr Phoenix Public Library with a topic of e-books. There were no meetings in the fall due to scheduling difficulties. No dinner meetings are planned, as there has been no interest expressed from the members regarding this when polled about the possibility. A change introduced for this year is making networking meetings topical or theme oriented in hopes to attract more members. Sheila noted that as always, suggestions are welcome!
Networking-Tucson, Jim Martin: The last meeting was held in November with an attendance of about 15 people, three of which were students. There have been several people who have expressed an interest in hosting a networking event, so information about that will be forthcoming.
Professional Development, Valerie Pomerenke: No report. Carla Smith noted that the responsibilities for this Chair have been a little ambiguous in the past and suggested that the Professional Development Chair should be more involved with program planning to help out the President-Elect/Program Chair.
Publications, Laura Bender: Laura began by noting that the possibility of using Nova (an SLA suggested vendor) will not work as they would be willing to handle monetary transactions only, not house the database. She has now been in contact with Amazon.com in regards to their Associates Program. We could supply them with a print version or an e-book and we would have a link from Amazon. She will find out further what that would entail/how it could work. There is student help now for the update of the records and mailings are ready to go out in late December or January. There was some discussion regarding placing the publication online without cost as well as placing it on CD-ROM, but the main issue is where the database will be housed. There was a question as what the market is for this publication and if the level of effort is worth it. Laura noted that she does receive calls requesting the information, so there is some perceived need. Along those lines, another suggestion was to make sure that all the libraries are represented in the larger directories. In the end, the decision was to wait and see what Amazon.com has to say before doing anything further on the subject.
Public Relations, Lori Critz: Lori had advertised today's events on several email discussion lists around the state (and several of the guests attested to the fact that they had found out about the meeting through those channels). Lori asked if there are any other discussion lists people knew of that she could post to or forward to a member of the list to be posted.
Student Chapter, Jack Mount (Interim): Jack has taken over for Clare Macha in the student chapter position. Carla will send a message to the group seeking a replacement. Jack noted, however, that the person in this position must be from the University of Arizona as the chair of this committee serves as a faculty advisor to the Student Chapter.
Webmaster, Jack Mount: Jack thanked Dianne for the graphic that is now on the main page. He also noted that he liked having pictures in the bulletin, and using the digital camera made it easy for him to mount them on the site.
Old Business
Strategic Plan, Karen Holloway - Karen made available to those in attendance copies of the draft strategic plan. The current plan is still posted on the website as of now. There were some changes made at the last strategic planning meeting and they are as follows. There are still four major goals, but the focus on some of them is slightly different. The first goal remains to "Develop programs of interest to members". The second goal was changed from "Increase membership" to "Stimulate membership". The third goal went from "Build relationship with University Library School" to "Continue relationships with University of Arizona Library School students". The final goal of "Increase the organizational effectiveness of AZ Chapter" was considered too vague and changed to "Strengthen the infrastructure of the Chapter". Karen asked that if there is more information that is not included in the plan to let her know. It was decided to call this Plan 2000-2003 and to have it replace the current one. This one will be posted on the website soon.
Fiesta Bowl, Lisa Bradley - There are four people wanting to volunteer for the Fiesta Bowl. They are Sandra McCoy Larson, Beki Welsch, Chris Vathis-Howell and Lisa Bradley. Lisa will be coordinating with Tony Alba to set the volunteer dates.
Southwest Regional Conference II Financial Update, Carla Smith - Carla had sent the treasurer for the conference two notes indicating that the Chapter would like to receive their share of the revenues. We have not seen any of those funds so far, but a recent correspondence indicated that not all the bills are in and that may be the reason that the payments have not yet been made.
AZ Chapter Fundraiser, Carla Smith - The shirt sales made a profit of $35. It was noted that even though it was not a large sum, the shirts raised the morale of the group. Carla says that the company that did the work still has the graphic on file and that they would be willing to make more items (but that we would have to have at least five items together to make it worth while). There were suggestions that handbags/book bags, hats, or aprons can be done besides just shirts.
New Business
Mentoring Program, Lori Critz - Response has been slim. So far, only four people have expressed interest. The students have shown interest, but the program will not be launched unless we have enough mentors to match. Lori said that she would wait another month or so (to see if any more sign up). She also noted that we would work with AzLA on this.
Elections, Carla Smith - Ann Eagan will chair this committee again. We will need to find members willing to serve on this committee. The two other members of last year's committee (Lori Critz and Gordon Dutrisac) are not able to serve. The positions for Secretary and President-Elect are up for election this time around.
AZ Chapter Programs, Beki Welsch - There will be a videoconference on March 29th at SRP from 1-4 p.m. There will be a charge for that program, but the amount will be determined later. There is a possible sponsor for a lunch that day. It was noted that people prefer to have more of a notice for programs. The May business meeting will most likely be held at ASU. The BIG news for upcoming programs is a Career Information Workshop scheduled for April 20th or 27th (still pending). The committee members putting this program together are Beki Welsch, Ted Johnson and Lori Critz. There will be a small charge for the program. They are soliciting questions for panelists and the workshop will be geared for professional librarians. They will advertise to librarians around the state for this.
Announcements
Susan Pritchard, Tom Turner and Beki Welsch will be attending the mid-winter meeting in Georgia.
Carla Smith will be taking maternity leave near the end of March, so she noted that she may be "out of commission for a while" after that point.
Kami Krenz, who is the president-elect for the Special Libraries Division of AzLA attended the meeting today and noted that they will be looking for presenters for the Nov. 2001 Conference (which is a joint conference with Mountain Plains Library Assoc.). There was a change this year in that presenters no longer have to pay admission to the conference.
Meeting adjourned at 3 p.m. It by followed with a short holiday-themed game and refreshments sponsored by Ebsco.

Nancy Dixon, the facilitator of this seminar, considers herself a
knowledge broker. In a corporate sector, it's better to form a good
team, not by explaining or teaching, but by giving them a real problem
to solve--the shared experience and reflection helps create a common
and transferable knowledge. Incentives to teaming include intrinsic
knowledge, trading knwledge with outside teams, recognition (but not
rewards), and a goal like increasing production by 5%. Informal, frequent,
brief meetings, and connecting people are effective ways of communicating. Susan Prichard said "It was interesting in its own right, but this
seminar did not really fit my needs--more for corporate. Still, it
was a good meeting. "
Gordon Dutrisac manned the computer for the
interactive portions
of the December 6 teleconference at ASU's Noble Library.
